​1.​ What data do we collect?

Xenia Rewards may collect the following data:

  • Phone Number
  • Time of visit
  • Location of visited business
  • Amount spent during visit
  • Products or services purchased during the visit
  • Number of visits

​2.​ How do we collect your data?

You directly provide Xenia Rewards with most of the data we collect. We collect data and process data when you:

  • Register your phone number with Xenia Rewards via using a Xenia Rewards terminal in order to participate in the loyalty program of a participating business.  
  • Enter your phone number to any Xenia Rewards terminal in any participating business in order to register your visit, view the available rewards, or redeem a reward.
  • Reply to any message sent by Xenia Rewards or any of the participating businesses.  
  • Use or view our website via your browser’s cookies.

Our Company may also receive your data indirectly from the following sources:

  • A smart POS that Xenia Rewards is integrating with. For example, when you are making a purchased and the business is using one of the integrated POSs, the POS may pass to Xenia Rewards the list of the items you purchased and their value. 

​3.​ How will we use your data?

Our Company collects your data so that we can:

  • Register your visits to the participating businesses along with the time and the location of the visited branch.
  • Register the amount spent during a visit in one of the participating businesses.
  • Register the items purchased during a visit in one of the participating businesses. 
  • Count the times you visited a business and reward you with relevant rewards.
  • Create a visiting profile and provide anonymous analytics to the businesses that you have visited.
  • Contact you via SMS regarding important information about the Xenia Rewards program.
  • Contact you via SMS regarding important information about the redemption of a reward or offer.
  • Contact you via SMS regarding offers and promotions run from one of the participating businesses.  

​4.​ Who may see your data?

  • Unfortunately, the transmission of information via the internet is not completely secure. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.
  • We will never reveal your phone number to any business or third party. 

​5.​ How long do we store your data for?

We retain Personal Information that you provide to us where we have an ongoing legitimate business need to do so (for example, as needed to comply with our legal obligations, resolve disputes and enforce our agreements).

When we have no ongoing legitimate business need to process your Personal Information, we securely delete the information or anonymise it or, if this is not possible, securely store your Personal Information and isolate it from any further processing until deletion is possible. We will delete this information at an earlier date if you so request, as described in the “How to Access & Control Your Personal Data” below.

​6.​ How to Access & Control Your Personal Data

Our Company will keep your Phone Number, Time of visits, Location of visited business, Amount spent during visits, Products or services purchased during the visits and Number of visits until you request their deletion. In the event of such a request, we will delete your data by replacing your phone number with a randomly produced identifier that is in no way derived by or can be converted back to your phone number.

​7.​ Marketing

Our Company would like to send you information about offers and promotions of the participating businesses that we think you might like. 

If you have agreed to receive marketing, you may always opt out at a later date.

You have the right at any time to stop Xenia Rewards from contacting you for marketing purposes.

​8.​ What are your data protection rights?

Xenia Rewards would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:

The right to access – You have the right to request Xenia Rewards for copies of your personal data. We may charge you a small fee for this service.

The right to rectification – You have the right to request that Xenia Rewards correct any information you believe is inaccurate. You also have the right to request Xenia Rewards to complete the information you believe is incomplete.

The right to erasure – You have the right to request that Xenia Rewards erase your personal data, under certain conditions.

The right to restrict processing – You have the right to request that Xenia Rewards restrict the processing of your personal data, under certain conditions.

The right to object to processing – You have the right to object to Xenia Rewards’ processing of your personal data, under certain conditions.

The right to data portability – You have the right to request that Xenia Rewards transfer the data that we have collected to another organization, or directly to you, under certain conditions.

Our Company does not use cookies in the app to track any of your activity when you are accessing the platform using the Xenia Rewards tablets located in our partner locations.

Our Company keeps its privacy policy under regular review and places any updates in this app and on the Xenia Rewards web page www.xeniarewards.com. This privacy policy was last updated on 15 June 2019.

Any changes we may make to our Privacy Policy in the future will be posted here and on the aforementioned web page and, where appropriate, notified to you by SMS.
